NetSuite Setup

Overview

OzLINK Mobile communicates with NetSuite by using one or more NetSuite users.  These NetSuite users can be existing users in your NetSuite system, as long as they are not already using Web Services for another purpose.  OzLINK Mobile also makes use of the advanced shipping features in NetSuite.

Set Up NetSuite Users

Ideally, each mobile device you are using simultaneously should have its own NetSuite user.  If this is cost prohibitive, please contact Oz Development to learn more about activating the user pool.

Each NetSuite user can be logged in once to the NetSuite website and once to web services at the same time.  OzLINK Mobile only uses the web services portion of NetSuite, so you can use accounts that are active on the NetSuite website as long as they aren't already using web services for another reason.  The web services portion of the NetSuite user will use a specific role.  Oz Development recommends that the user have and use the "OzLINK (Web Services Only)" role for web services.  This role is available as a NetSuite bundle.

Install the bundle for the OzLINK Web Services Role
The OzLINK Web Services Role is used to make sure the NetSuite user has the appropriate permissions to accomplish tasks on the mobile computer.  Start by logging in to a NetSuite account that can install bundles.  In the main menu, click Setup, then Customization, then Install Bundle.  On the bundle screen, search for "OzLINK Web Services".  Select the OzLINK Web Services Role bundle, then click Install on the details screen.

The OzLINK Web Services role should install successfully and be ready for assignment to NetSuite users.  Please refer to your NetSuite documentation if you have trouble installing the bundle.

Add the OzLINK Web Services role to the user
You will need to complete this setup for each NetSuite user that will be used on your mobile devices.

Log in to NetSuite with an account that can assign roles to users.  In the main menu, click Lists, then Employees, then Employees.  Click on the name of a NetSuite user who will be using the mobile devices to open the employee information page.  Click the Access tab, then click Edit.  In the Roles dropdown menu, select OzLINK (Web Services Only).  Click Add to add the role to the user, then click Save.

Assign the OzLINK Role as the Web Services Role
You will need to complete this setup for each NetSuite user that will be used on your mobile devices.

Log in to NetSuite with an account that can assign roles to users.  In the main menu, click Setup, then Integration, then Web Services Preferences.  If the user is not yet in the list, use the dropdown menu at the bottom of the list to select the user, then select OzLINK (Web Services Only) in the Web Services Default Role column.  If the user is already listed, select OzLINK (Web Services Only) in the Web Services Default Role column.  Click Save to save your changes.  NOTE: If the user has already been assigned a different role in this column then they may be using web services for another purpose.  Please check with the user or administrator before changing it.

Please refer to your NetSuite documentation for more information about user roles and web services.

Install the OzLINK Mobile bundle

The OzLINK Mobile bundle is necessary to enable OzLINK to pick orders.  Start by logging in to a NetSuite account that can install bundles.  In the main menu, click Setup, then Customization, then Install Bundle.  On the bundle screen, search for "OzLINK Mobile".  Select the basic OzLINK Mobile bundle, then click Install on the details screen.

Please refer to your NetSuite documentation if you have trouble installing the bundle.

Turn on Advanced Shipping in NetSuite

OzLINK uses advanced shipping to manage item fulfillments as you are picking an order.  Advanced shipping gives your shipping and accounting departments separate processes for fulfilling and billing sales orders.  Important: Please refer to the NetSuite documentation regarding this option before activating it to assess its impact on your workflow.

To turn on advanced shipping, log in to NetSuite as a user who can adjust company settings.  In the main menu, click Setup, then Company, then Enable Features.  Select the Transactions tab, then check the box next to Advanced Shipping to turn it on.
